ITC's Office Technology Conference 2004 (OTC2004), Thinking About Technology, was held on May 19 at Newcomb Hall from 8:00 a.m. to 4:00 p.m.

The Conference featured an opening keynote address, breakout sessions throughout the day with vendors and poster sessions in the Ballroom. Presentations are linked to the session titles below if the presentation is available.

Almost every day brings with it a new virus, worm or other noxious breed of malicious software (malware). And then the next day brings a new Microsoft operating system vulnerability. What can you do to protect yourself and your department? How can you stop the department chair from opening dangerous attachments or going to pernicious web sites?

An Introduction to the Instructional Toolkit - Presented by Roxanne Chandler, ITC Instructional Technology
The Instructional Toolkit is a Web-based course management application that provides instructors with a quick and easy way to create course Web pages and utilize electronic resources such as class rolls and e-mail lists. Join Roxanne as she describes some of the widely used features on the Toolkit, and how you can get started using it.
 

MS Word 2000 Advanced: Thinking About Taking a Section Break - Presented by Cassandra Truzy, Darden School of Business, Admission's Office
Join Cassandra Truzy in this session as she demonstrates how to use section breaks to create columns, change the orientation of the page and create page numbering, build shortcuts on your toolbar using macros, and create tables to perform mathematical calculations. Cassandra will also show you how to create templates and add watermarks to a Word document and demonstrate how to resolve common formatting problems.

NETg Learning is a Web-based training and professional development system implemented in a pilot phase in 2003 by UHR Division of Training in partnership with ITC. Join Brian Mahoney and Peggy Lips as they explain what NETg Learning is and how we are utilizing this system at the University of Virginia. Brian and Peggy will walk you through the Website and demonstrate the process from registration to launching a course.

 

Too Much Paper? Can Technology Help? - Presented by Tracy Scharer, Departmental Web Application Development-ADS; Cheyrl Elzey, Student Financial Services; Mary Creed, Dean's Office, School of Medicine; Aron Teel, Exec Tech-Madison Hall and Lynn Walker, CLAS/GSAS
Can your department benefit from an Electronic Data Management System? In this presentation we look at actual uses of ImageNow, an inexpensive paper management application widely utilized at the University. Cheyrl Elzey explains how Student Financial Services uses ImageNow and how it improved business processes. Aron Teel will share how ImageNow manages incoming mail at Madison Hall. Lynn Walker describes an imaging system that handles student records at the College of Arts and Sciences. Mary Creed, currently implementing a new system at the School of Medicine, will show how to click from a database record and see all the related paper archives-- plus save steps and time. Join this team of experts as they talk about ImageNow and provide useful information about implementing a document imaging system in your department.

Holes in Your Windows Let in More Than a Cold Breeze - Presented by Brian Davis, IT Security & Policy Specialist
You don't want to give control of your computer to a stranger, do you? So, how do you configure machines so that the Microsoft operating system (Windows 95, 98, ME, NT, 2000, XP) and applications (MS Office, Internet Explorer) stay secure? What if you don't want to configure each machine individually, but want someone else to manage a centralized process? Documentation and/or presentation is not available.

Adobe Acrobat PDF Format? All you ever wanted to know about this subject but were afraid to ask! - Presented by Kenn McDermott, Facilities Planning & Construction
Adobe Systems Incorporated now holds the Copyright for the TIFF specification that was developed by Aldus and Microsoft Corp and which is still a very popular, highly flexible and platform-independent format which is supported by numerous image processing applications. However, because there are no provisions in TIFF for storing vector graphics, text annotation, etc. Adobe has been pushing hard for the past ten years to make their Portable Document Format (PDF) the de facto standard for the secure and reliable distribution and exchange of electronic documents and forms. PDF is now a universal file format that preserves the fonts, images, graphics, and layout of any source document, regardless of the application and platform used to create it. AdobeR PDF files are compact and complete, and can be shared, viewed, and printed by anyone with the free Adobe ReaderR software, which to date has seen more than 500 million copies distributed. You can convert any document to Adobe PDF using Adobe AcrobatR or other software programs licensed by Adobe. Kenn McDermott will provide a general overview of how/where to acquire Adobe Acrobat here at UVA, the two current 'flavors' (Acrobat Standard 6 and Acrobat Professional 6) and how to use these within a typical office environment - both to create PDF documents and also to convert PDF documents to Word documents for editing. Although this is a general overview and not a class on PDF, Kenn will demonstrate the use of Acrobat and answer your PDF questions.

 

Managing Multiple Passwords - Presented by Teresa Wimmer, Technical Director for ISDS and Susan Dempsey, LSP for Arts & Sciences
The average UVa employee can have more than a dozen passwords. Join Teresa and Susan as they team up to provide some practical suggestions for creating good passwords and keeping track of them and provide some tips for meeting the new requirement to regularly change Oracle passwords.

 

MS Access 2000 Advanced: Thinking About Forms and Reports - Presented by Bill Woolfolk, Department of Health Evaluation Sciences
Join Bill in this session as he demonstrates some ways to automate forms and reports, including how to print a single record from a form using a multi-record report. Bill will also show you how to number records on a report at run-time. Documentation and/or presentation is not available.

 

PDA Panel - Update for 2004 - Presented by Aron Teel, Exec Tech-Madison Hall; Tony Townsend, ITC; Gabriel Rios Claude Moore Health Sciences Library; Walter Underwood, Clemons Library

Are You Digitizing Yet? An Update on Scanning and the Paperless Office - Presented by Kenn McDermott, Facilities Planning & Construction
With desktop scanners and digital cameras more prolific now than ever before, many office and technology professionals are encountering topics graphics professionals have wrestled with for years. Such things as: Graphic image formats, file sizes, resolution choices and compatibility issues. Although the "Paperless Office" prediction by some has not materialized, there is a general trend toward digitizing more of the paper we handle both to share documents and images electronically, as well as store and retrieve digital archives. Though becoming more popular every day, digitization is not free of difficulties, particularly when the goal is to share information among a diverse group of people and equipment. Kenn will discuss some common terms, acronyms and techniques for dealing with these issues and will show you how this technology can be productive both on the desktop with low-end equipment and with more expensive high-speed scanners that have Automatic Document Feeders (ADF) and use Optical Character Recognition (OCR) software. Kenn will demonstrate some of these basic principals using a low-end scanner (retail less than $60), several digital cameras, a flash card reader and several inexpensive software applications. Additionally he will discuss how Facilities Management has worked with high-speed scanners, high-end document management software and the resulting high-volume storage requirements. He will describe some of the difficulties associated with getting personnel at all levels to become familiar with the digitizing process - a cultural shift which can mean different things to different people.

 

Window Dressing and Lion Taming - Presented by Aron Teel, Exec Tech-Madison Hall
This session will incorporate Windows XP tips and troubleshooting! Aron will discuss tips on how to change the appearance of Windows XP to look the way you prefer and tips on managing the Start Menu and toolbars. He will provide pointers to maintain Windows in good operating order and discuss methods for removing parasites (adware and spyware) from your computer. Join Aron in this informative session and learn how to begin troubleshooting hardware problems when they occur.

 
MS Excel 2000 Advanced Tips & Tricks - Presented by Tom Edwards, ITC Help Desk
Do you use MS Excel 2000? Would you like to know some great tips and tricks to make your use of this application easier and more fun? Join Tom in this session as he demonstrates some useful hints for this Microsoft spreadsheet application.

A new version of the Mulberry email client will be available soon. It offers many new capabilities, and this session will
talk about those capabilities as well as discuss installation of the product.

Thinking About Hooking Your Printer to the Network? Why? Presented by Hamp Carruth, ITC and Sharon Drumheller, ITC
Can't decide if you want to install or configure a printer on the network? Do you know the difference between a bootp and static IP address? Want just the quick and easy basics for getting your printer configured on the network? If you have printer questions, this presentation is for you! Join Hamp and Sharon as they cover topics that will help you make decisions on network vs non-network printing. Maybe you've heard about requesting an IP address for your printer. Now you will see how to get one. You'll get the scoop on how to configure and secure your printer, and get answers to those baffling questions asking where is my print job or how do I delete it.

Corporate Time - Do you
use Corporate Time? If not, would you like to know what it is and how you can get access to this scheduling and time management application? The Web interface offers Web access to your CorporateTime calendar from nearly any PC or Mac with a current browser and Internet connection. You must have a valid U. Va. CorporateTime account to use the Web interface. For more information, see the CTime Web page.

WebMail
- Have you ever been away from your office and needed to check email but wondered how you could do that? WebMail is an application that provides access to your email via the Web. Your configuration settings and incoming mail are stored on the Central Mail Server (CMS). Access to your mail is via a Web interface. For details, see the WebMail Web page.


Home Directory
- Did you know ITC provides free storage space for accessing your files through Home Directory, a program that can be installed on your home computer as well as accessed from your office workstation. This service reduces the need to use floppies or Zip disks. Files stored on the Home Directory server are accessible through any networked computer.
You can create and store files from on Grounds or off, using a variety of different computers and operating systems. You can also publish personal Web pages from your Home Directory space.

The U. Va. Proxy Server - The U.Va. proxy server allows you to use resources on the University network that are otherwise restricted by Internet address. To use the U.Va. proxy server, you must be a student, faculty, or staff member of the University, and you must obtain a proxy server account. For detailed information, see the U. Va.
